POSITION: Operations and Circulation Manager
STATUS: Full-time employee
REPORTS TO: Publisher and Executive Editor
LOCATION: On-site, Morganton, North Carolina
SCHEDULE: Monday-Friday, 8:30 a.m.-5 p.m.
Position Summary
The Paper is looking for an Operations and Circulation Manager to help run the daily office, customer-service, subscription and circulation work of Burke County’s locally owned newspaper.
This is a hands-on position for someone who is organized, dependable, friendly, confidential and comfortable doing a little bit of everything. The job includes helping readers and subscribers, keeping office systems organized, supporting print and digital circulation, assisting with weekly production and providing administrative support to the Publisher and Executive Editor.
In plain terms: this person helps keep the office running.
Main Responsibilities
● Serve as a primary contact for readers, subscribers, advertisers, walk-ins and general public inquiries.
● Handle customer-service questions, complaints, subscription issues, billing questions, obituary inquiries and legal ad inquiries.
● Manage subscription and circulation records using BLOX, Google Sheets, PayPal, USPS reports, manual lists and AI-assisted tools.
● Process subscription starts, stops, renewals, address changes, delivery issues and payment questions.
● Prepare and update delivery lists, mail lists, retail lists and other circulation records.
● Accept customer payments and record them according to company procedures.
● Help coordinate weekly print production, including printer communication, page proofing, deadlines and delivery materials.
● Assist with e-editions, newsletters, website items and other digital distribution tasks as needed.
● Provide light writing, editing and research support, including calendar items, briefs, submitted notices and community announcements.
● Serve as an administrative assistant as needed to the Publisher and Executive Editor.
● Help maintain office records, files, calendars, lists and internal communication.
● Protect confidential information involving subscribers, advertisers, personnel, finances, editorial planning and company operations.
Qualifications
The successful candidate should be:
● Reliable and organized.
● Friendly and professional with the public.
● Comfortable answering phones, emails and walk-in questions.
● Able to handle confidential information with discretion.
● Able to work independently and take initiative.
● Detail-oriented with names, addresses, payments, lists and deadlines.
● Comfortable with computers, email, spreadsheets and basic office systems.
● Willing to learn newspaper, subscription, circulation and production systems.
● Able to adapt when the day changes, which it often does in a newspaper office.
Experience in office administration, customer service, circulation, media, retail, nonprofit work, billing support or community-facing work is helpful but not required.
Compensation and Benefits
● Negotiable hourly rate, based on a 37.5-hour work week.
● Full-time employee status.
● Two weeks of paid PTO after three months of employment.
● Seven paid holidays annually.
● Health insurance eligibility after three months, subject to plan terms.
● Mileage reimbursement for approved work-related travel.
